About the Role
Key Responsibilities:
Scheduling and Calendar Management:
Managing the executive's calendar, including scheduling meetings, appointments, and events, and proactively addressing potential scheduling conflicts.
Communication Management:
Handling email correspondence, managing phone calls, and ensuring the executive's communication flow is efficient and effective.
Travel Arrangements:
Coordinating travel logistics, including booking flights, accommodations, and transportation, and creating detailed itineraries.
Record Keeping and Filing:
Maintaining accurate and organized records, including documents, files, and contact information.
Project Support:
Providing administrative support for projects, which may include preparing reports, presentations, and other materials.
Meeting Coordination:
Organizing meetings, including scheduling, sending reminders, and arranging for necessary resources like catering.
Office Management:
May include tasks such as ordering supplies, maintaining office equipment, and ensuring a clean and organized work environment.
Managing volunteers and part-time contractors
Financial Support:
Assisting with expense reports and other minor accounting tasks.
Visitor Management:
Greeting and directing visitors to the appropriate person or department.
Requirements
Strong communications and organizational skills
Vendor Management
Expert in office programs to include Microsoft, Excel, Power-Point, and Zoom.
Team player
Executive level experience 3-5 years
Accounting principles proficient
